Student Promotion

Purpose

Move a whole cohort to the next grade at year end (e.g. all Grade 5 → Grade 6).

Who uses it

School Admin.

Depends on

Grade Levels, Enrollments, new Class Sections for next grade.

Example

Select Grade 5 Section A → Promote to Grade 6 Section A for session 2026-2027.

Module D5b: Re-enrollment Confirmations

Purpose

Ask each family whether the child returns next year, then approve the student into a next-session class. This is individual confirmation + review, not a bulk class move.

Who uses it

School Admin, secretary. Parents confirm on WhatsApp (parent menu 10) or at the office.

Depends on

Current and next Academic Sessions, active Student Enrollments, class sections for the next year, SMS/WhatsApp templates reenrollment_* (Configuration → Notifications).

Step-by-step

• Create the next academic session (and next-year classes) first.
• People → Re-enrollment Confirmations → Open Re-enrollment Campaign (from session = this year, to session = next year, optional minimum fee).
• Invite parents. They receive SMS/WhatsApp. On WhatsApp they send 10, then 1 (confirm) or 2 (decline).
• At the office you can Record physical confirmation on the student Review screen.
• Status Pending review (or Partial confirmation if the minimum fee is unpaid) → open Review → check results, attendance, fees, discipline → Approve into a next class, Keep pending, or Reject.
• Sync students if children enrolled after the campaign opened. Close campaign when the window ends (unanswered rows become Expired).

Statuses

Pending (awaiting parent) → Partial confirmation (yes, fee short) or Pending review (yes, fee ok) → Confirmed / Rejected. Declined = parent said no. Expired = campaign closed with no answer.

Example

Green Valley opens “Re-enrollment 2026-2027”, minimum fee 50 000 CDF. Parent of Nathan confirms on WhatsApp. Until 50 000 is counted as paid, the row stays Partial. After payment, Review → Approve into 6e A. Nathan’s 2025-2026 enrollment is marked promoted; 2026-2027 enrollment is active.

Common questions

• Is this Student Promotion? No. Promotion moves a whole class. Finish confirmations first; then promotion (if you still use it) should only list students already confirmed for the target session.
• Is this Pre-enrollment? No. Pre-enrollment is for new applicants.
• Invitations do not send. Enable reenrollment_invitation (and reminder) under Configuration → Notifications for SMS and/or WhatsApp.
